Partner Privacy Policy

For Merchants, Districts, and Sponsors
This Partner Privacy Policy describes how Preffin, Inc. ("Preffin," "we," "us," or "our") collects, uses, and protects information from our merchant, district, and sponsor partners ("Partners," "you," or "your"). This policy applies to information collected through the Partner Hub and our business relationship.

1. Information We Collect
1.1 Business Information
When you register as a Partner, we collect:
- Business name, address, and contact information
- Tax identification number (EIN)
- Business type, category, and description
- Business hours and location details
- Banking information for payments
- Business licenses and permits (as required)
1.2 Authorized User Information
For individuals authorized to access the Partner Hub:
- Name and job title
- Email address and phone number
- Login credentials
- Role and permissions within the Partner Hub
1.3 Transaction Data
We collect transaction data from participating merchants:
- Transaction amounts, dates, and times
- Merchant identifiers (MID)
- Card network transaction identifiers
- Cashback amounts earned and redeemed
1.4 Point of Sale Data (If Integrated)
If you opt to integrate your point of sale (POS) system for item-level cashback offers, we collect:
- Item names and descriptions
- SKUs, UPCs, or other product identifiers
- Item quantities and prices
- Discounts and promotions applied
- Item categories and subcategories
- Transaction-level itemization
POS integration is optional. This data is collected only from merchants who have enabled POS integration through the Partner Hub and is used solely to verify eligibility for item-level cashback offers and generate product performance reports.
1.5 Usage Information
We automatically collect information about Partner Hub usage:
- Login times and session duration
- Features accessed and actions taken
- IP address and device information
- Browser type and operating system
1.6 Communications
We retain records of communications including:
- Emails and support tickets
- Phone call records (with notice)
- Meeting notes and correspondence
2. How We Use Partner Information

3. How We Share Partner Information
3.1 With Users
We display Partner business information (name, location, category, hours, cashback rates) to Users in the Preffin app to enable them to find and visit participating merchants.
3.2 With Service Providers
We share information with trusted service providers who assist our operations:
- Payment Processors: To process payments and transfers
- Card-Linking Services: To detect transactions (Fidel API)
- Cloud Infrastructure: To host and secure data
- Analytics Tools: To generate reports and insights
- Communication Platforms: To send notifications and support
3.3 With Other Partners
For District and Sponsor partners, we may share aggregated merchant performance data to demonstrate program effectiveness. We do not share individual merchant financial details with other merchants without consent.
3.4 Legal Requirements
We may disclose information when required by law or to:
- Comply with legal process or government requests
- Protect rights, property, or safety
- Detect and prevent fraud
- Enforce our Partner Terms
3.5 Business Transfers
In the event of a merger, acquisition, or sale of assets, Partner information may be transferred to the acquiring entity with appropriate notice.
4. Data Provided to Partners
4.1 Transaction Reports
Partners receive access to:
- Aggregated transaction volumes and trends
- Cashback amounts earned and distributed
- User engagement metrics (anonymized)
- Program performance analytics
4.2 Data Restrictions
Partners agree to use data provided by Preffin only for purposes related to the cashback program. Partners may not:
- Sell or share User data with third parties
- Use data for purposes unrelated to the Preffin program
- Attempt to identify individual Users from aggregated data
- Contact Users directly using Preffin-provided information without consent
5. Data Security
We implement appropriate security measures to protect Partner information:
- Encryption of data in transit and at rest
- Access controls and authentication requirements
- Regular security audits and monitoring
- Employee training on data protection
- Incident response procedures
Partners are responsible for maintaining the security of their Partner Hub accounts and should use strong passwords, enable two-factor authentication, and limit access to authorized personnel.
6. Data Retention
We retain Partner information for:
- Active Partnerships: Throughout the partnership and as needed for ongoing operations
- Financial Records: Seven (7) years for tax and accounting purposes
- Transaction Data: Three (3) years for dispute resolution and analytics
- Communications: As required for legal and business purposes
Upon termination of the partnership, we will retain information as required by law and delete or anonymize other data within a reasonable timeframe.
7. Your Rights
Partners have the right to:
- Access: Request a copy of information we hold about your business
- Correction: Update or correct inaccurate information
- Deletion: Request deletion of information (subject to legal retention requirements)
- Portability: Receive data in a portable format
- Objection: Object to certain processing activities

8. Cookies and Tracking
The Partner Hub uses cookies and similar technologies to maintain login sessions, remember preferences, and analyze usage. You can manage cookie preferences through your browser settings, though this may affect functionality.
9. Third-Party Links
The Partner Hub may contain links to third-party services. This Privacy Policy does not apply to those services. We encourage you to review their privacy policies.
10. International Data
Partner data is processed and stored in the United States. By using the Partner Hub, you consent to the transfer of information to the United States.
11. Changes to This Policy
We may update this Partner Privacy Policy from time to time. We will notify Partners of material changes via email or through the Partner Hub. Continued use after changes constitutes acceptance.
